When to outsource business intelligence and when to build it inside

Two types of functions in every company

There are two types of functions in any company. The first group consists of those that you understand deeply — for us, that includes business analytics, project delivery, and partly sales. The second group covers everything where your expertise is limited or missing entirely.

In our case, that means large-scale client acquisition or working with big institutional clients, sometimes even finance and accounting. And here we follow a simple rule that has never failed us: if we don’t understand a function well enough, we always outsource it.

Outsourcing as a way to learn fast

Outsourcing, when approached wisely, is not a sign of weakness but a way to learn fast. By choosing a strong partner, you immediately see how a particular business function should look in practice, not in theory, but at a level far above average. Within weeks, you begin to understand its mechanics, the pace of execution, the cost structure, and the benchmarks that define “good.” You can then adjust your own processes accordingly and, over time, decide whether to bring this expertise in-house.

For us, an outsourcing cycle typically lasts one to three years. Once a function becomes strategically important, we discuss its gradual transition inside the company, often in collaboration with the same partner who helped us build it.

Why start with outsourcing business intelligence

This is precisely the approach I recommend to our clients when they consider outsourcing business intelligence. If you have no clear internal expertise, no understanding of which tools to use, which specialists to hire, or how to structure a data team, outsourcing is the right place to start. A capable BI partner gives you an operational system almost immediately, while hiring, onboarding, and setting up the same capacity internally could take months.

The logic is simple: business is about speed

Markets constantly present new opportunities, and those who seize them first — win. To move quickly, you must make decisions fast. Often, a good decision made in time is far more valuable than a perfect decision made too late. That’s why we outsource everything that lies outside our core expertise, and that’s exactly why clients come to us for business intelligence outsourcing and custom BI dashboards. We help them gain a functional BI capability within weeks instead of quarters, enabling them to make faster, smarter, data-driven decisions while their competitors are still assembling teams and debating tools.

Final thought

It has never been rocket science. It is simply the discipline of acting fast, learning through practice, and surrounding yourself with those who already know how to do it well.
